Role of Office Manager

Sevenoaks Counselling is a counselling charity based in Sevenoaks, Kent. We have been operating in Sevenoaks for over forty years, providing a trusted, professional, affordable service to Sevenoaks and the surrounding area including Kent, Medway, South London and parts of Sussex and Surrey. We work with a variety of clients from adults, couples and families to children and young people.

We are looking for an organised, proactive, and personable Office Manager to help keep our service running smoothly and professionally.  This is a varied role that combines office administration, client support coordination, and public-facing communications.

The Role

  • Managing client enquiries, appointments, and records

  • General office administration and coordination

  • Updating the website and social media channels

  • Supporting promotion of the charity and its services

  • Helping maintain a welcoming and professional service

We are looking for someone who:

  • Is highly organised and reliable

  • Can manage a small team of volunteers

  • Has experience of working in an administrative role

  • Has communication skills using a range of channels

  • Is confident with social media and website updates

  • Can work independently and use initiative

  • Is approachable, professional, and compassionate

  • Understanding of counselling or mental health would be helpful but isn’t essential.

Hours: 6 hours per week; Salary: £16.80 p/h Location: The Bridge, Littlecourt Road, Sevenoaks (some working from home may be available in school holidays); One day to be a Friday Contract: Permanent

Office Manager

Reports to: Head of Counselling

About Us

Sevenoaks Counselling is a small counselling charity committed to providing accessible emotional wellbeing and counselling support to individuals in our community. We are looking for an organised, compassionate, and proactive Office Manager to support the smooth running of our services, working closely with the Head of Counselling and help raise awareness of our work through effective communication and digital engagement.

Role Purpose

The Office Manager will play a central role in the day-to-day administration of the charity, acting as the first point of contact for clients and supporting counsellors, our office administrators and management with efficient administrative systems. The role also includes responsibility for maintaining and developing the charity’s social media presence and website content to promote services, fundraising activities, and community engagement as well as external communications.

Key Responsibilities

Client Administration & Waiting List Management

  • Manage enquiries from prospective clients via phone, email and website

  • Maintain accurate and confidential client records

  • Coordinate counselling referrals, appointments and waiting lists

  • Liaise sensitively and professionally with clients, counsellors, administrative team, management, trustees and external agencies

  • Monitor waiting times and support effective allocation of counselling spaces

  • Ensure compliance with GDPR and confidentiality policies

 

General Office Administration

  • Oversee the smooth running of the office and administrative systems

  • Maintain databases, filing systems and records

  • Prepare reports, statistics and correspondence as required, including reporting for grant funding.

  • Support trustees and management with meeting administration

  • Manage office supplies and equipment

  • Assist with funding applications and general charity administration where required

  • Assist the Finance officer with credit control issues.

  • Assist in running and planning of CPD events for the charity and external clients.

 

Social Media & Website

  • Manage and update the charity website with news, events and service information

  • Create and schedule engaging social media content across platforms such as Facebook, Instagram and LinkedIn

  • Help promote fundraising campaigns, events and awareness initiatives including a regular newsletter

  • Monitor social media engagement and respond appropriately to enquiries

  • Ensure branding and communications are consistent and professional

 

Person Specification

Essential

  • Previous experience in office administration or office management

  • Management of staff (preferably volunteers)

  • Excellent organisational and time management skills

  • Strong written and verbal communication skills

  • Experience managing social media platforms and website content

  • Good IT skills including Microsoft Office

  • Ability to handle confidential and sensitive information appropriately

  • Friendly, empathetic and professional manner

 

Desirable

  • Experience of counselling or mental health

  • Knowledge of GDPR and safeguarding principles

  • Experience with Canva, Wix or similar platforms

  • Understanding of counselling services and client confidentiality requirements
